Executive Assistant, Business and Strategic Affairs
The Centre for Drug Research and Development (CDRD) is an innovative organization that focuses on bridging the gap between academic discoveries in the health sciences and the development of new medicines to treat human diseases. With operational facilities located on the campuses of the University of British Columbia (UBC), Simon Fraser University (SFU), and the BC Cancer Agency (BCCA), CDRD has established a novel drug development platform. By working closely with Canadian academic researchers and the pharmaceutical/ biotechnology industry, CDRD provides a collaborative framework through which drug development can become sustainable, cost-effective, and advantageous to society.
Summary
Reporting to the Senior Vice President, Business and Strategic Affairs,the Executive Assistant provides senior administrative support to the Business Development team.
Responsibilities
- Provides support for the SVP, Business and Strategic Affairs including scheduling meetings, managing appointments, preparing correspondence, making travel arrangements, preparing presentation materials, coordinating expense reports and maintaining materials for various committees.
- Provides support for the Director, Business Development, Director, Communications and Director, Intellectual Property including scheduling appointments, managing calendars, preparing various agreements, as well as circulating documents and printing materials as necessary.
- Prepares presentations for external audiences
- Oversees CDRD Contacts Database, updating as necessary, ensuring it is up to date and ready to use at all times.
- Provides back-up support for the Executive Assistant to the CEO as necessary.
- Oversees the scheduling and receiving of government officials, executives and other visitors to CDRD
- Other related duties as assigned.
Qualifications and Experience
- High School Graduation, post-secondary business Training and 7+ years of directly related experience, with a minimum of 3 years in a similar role.
- Excellent communication skills (written and verbal) and highly resourceful.
- Excellent organizational skills able to successfully manage competing priorities.
- Ability to develop administrative infrastructure and processes to facilitate operational efficiency.
- Advanced knowledge of Microsoft Office package (Word, Excel, Outlook, Powerpoint).
- Experience preparing powerpoint presentations for both internal/external audiences.
- Ability to handle large, stylized documents (i.e. headers/footers, tables of contents).
- Previous experience in a similar environment preferred.
